Vendor of Record Arrangements
A Vendor of Record (VOR) are vendors/suppliers who have pre-qualified to supply specific goods and/or services.
Contracts are typically awarded to several vendors through a competitive bid process and are for a defined period, with set terms and conditions. These VOR arrangements are established to reduce the administrative costs associated with repetitive quote solicitation by establishing longer term contracts with vendors. VORs sign a formal document that commits both the vendor and TRCA to a set of mutually agreed-upon “rules of engagement” in support of purchasing transactions. At a minimum, these rules include terms of the type of procurement, opportunities for extensions, fixed pricing, service or maintenance commitments as well as insurance coverage and any other requirement related to risk mitigation.
A VOR contract may be department specific or TRCA wide.
Each of these VORs have been negotiated with very specific terms and conditions. Before using any of the listed VORs, first read through their procedures.
