Staff Out-of-office Messages During the Holidays

With the holiday season approaching, and many of us preparing for time away from the office, all staff are reminded to follow TRCA’s requirements for out-of-office email and voicemail messages during your absence.

Your out-of-office messages should inform callers/emailers that TRCA offices will be closed December 24 through January 2. You will find message templates below for you to use during this period.

Please note that if your vacation extends beyond the office closure dates, you are required to list an alternate contact while the offices are open. We have provided separate message templates that you may use in this circumstance.

Out-of-office Message Templates

If you are away December 24 – January 2:

EMAIL

Thank you for your e-mail.

Our offices are closed for the holidays from Saturday, December 24, 2022, through Monday, January 2, 2023.  I’m currently out of the office and will return on [Date].  I’ll respond to your message at my earliest convenience upon my return to the office.

VOICEMAIL

Hello. You’ve reached [Name], [Job Title] in [Business Unit] with Toronto and Region Conservation Authority.  Our offices are closed for the holidays from Saturday, December 24, 2022, through Monday, January 2, 2023.  I’m currently out of the office and will return on [Date].

Please leave your name, telephone number and a short message after the beep, and I will return your call at my earliest convenience upon my return to the office on January 2nd.
Thank you and have a great day.

If you are also away before December 24 and/or after January 2:

EMAIL

Thank you for your email.  Our offices are closed for the holidays from Saturday, December 24, 2022, through Monday, January 2, 2023.  I’m currently out of the office and will return on [Date].

If your e-mail requires a response prior to my return, please contact [Approved Designate] at [Designate’s e-mail]. Otherwise, I’ll return your message at my earliest convenience upon my return to the office.
