Recap of Employee Engagement Initiatives and 2021 Survey Launch

Last March we commenced our employee engagement roadmap and launched our first ever comprehensive employee engagement survey. For the last six months, we have been advancing TRCA’s ten actionable engagement initiatives, which are detailed in scorecards on the Staff Hub. At this point, the Champions and I are pleased to provide a recap of achievements.
Our Journey:
- The Senior Leadership Team (SLT) established a clear roadmap for improved employee engagement.
OUR ENGAGEMENT ROADMAP
- Based on the survey results, and through what employees shared, SLT identified five priority engagement drivers, founded on the McLean’s Engagement Priority Matrix:
- Learning & Development
- Relationships — SLT, Divisional, Manager (includes communications)
- Rewards and Recognition
- Work life Balance
- Benefits
- Post Employee Engagement Survey:
- SLT held 4 organization wide Virtual Town Halls with an attendance of over 400 employees to share the survey results, next steps, and provided Q&A opportunities for employees.
- Divisional Directors with the Senior Management Team (SMT) held divisional engagement sessions sharing the divisional survey results and conducted engagement activities to improve individual team engagement.
- The HR team delivered 12 engagement focus group sessions, with approximately 100 participants from across all divisions to gather greater insight to support the action planning process.
- Using a decision matrix, the SLT identified 10 engagement initiatives and 10 supplementary actions to focus our efforts on.
- SLT Champions were established for each initiative and scorecards were created on the Staff Hub that clearly defined objectives, measures of success and timelines, based on what we heard from employees.
- Over the course of six months, SLT met monthly to receive updates from the Champions, and then communicated these updates via the engagement scorecards on the Staff Hub.
- TRCA Communications sent monthly emails to all employees to inform staff that updates were available on the employee engagement section of the Staff Hub so all TRCA employees had transparency and insight into the actions being taken with respect to improving engagement.
- At SMT meetings, engagement continued to be a standing topic to both educate and promote engagement opportunities.
Our Results:
- There has been a significant amount of progress and success in implementing our 10 initiatives and 10 supplementary actions.

NEXT STEPS
- Work continues on some of the initiatives that require further Board approvals, budget, and input from staff and SMT.
2021 Employee Engagement Survey Launch:
On April 6, 2021, you will receive an email and link to our 2021 Employee Engagement Survey. Again this year, TRCA has partnered with McLean & Company, an independent HR research firm, to administer our Employee Engagement Survey to gather your insights and feedback. As a third-party provider, McLean & Company will continue to ensure the confidentiality of your responses and objectivity of the process is maintained. McLean & Company only shares aggregate results of the survey with TRCA and not individual responses. No one at TRCA has access to any individual responses.
SLT and SMT appreciated your feedback last year which informed our work on employee engagement. We are committed to understanding and acting on your feedback. The engagement survey will take approximately 15-20 minutes to complete. I encourage you to take this opportunity to share your honest perspectives and feedback about how TRCA is progressing on employee engagement.
