Project Description & Goals
Development of flexible work arrangements that meet the needs of external partners and customers, while balancing TRCA’s support for work life balance.

Progress Made to Date
NOVEMBER 2020:

  • TRCA staff are in the progress of drafting a Flexible Work Arrangements Policy with related forms.
  • R&I pilot – initial data collection on the long-term space utilization envisioned for post COVID-19.

DECEMBER 2020:

  • The new Flexible Work Arrangements Policy has been developed along with related forms and will be going to SLT for review in January 2021.
  • Hours of Work Policy has been updated and will be going to SLT for review in January 2021.

JANUARY 2021:

  • Conducted an environmental scan to ensure our program is aligned with our partners.
  • Working through the Flexible Work Arrangements and Hours of Work Policies with the Senior Leadership Team that will come into effect post-COVID.
  • A Working Group on space accommodation/space use plan has commenced to support alternative work arrangements.
    • Updated workplan has been completed and shared with project team. The following activities have been undertaken in January: data collection template; applied for federal student funding for desk inventory analysis; working on updated ratio space analysis for new administrative office building.

FEBRUARY 2021:

  • Divisional data collection on-going.
  • Updated ratio space analysis for new administrative office building completed.
  • Environmental scan of partner organizations underway to assess their respective Flexible Work Arrangement Programs.
  • Information on a Flexible Work Arrangement Policy will follow at a later date as the timeline for reopening our public offices and facilities becomes clearer.

MARCH 2021:

  • Divisional data collection completed and analysis underway.
  • Options analysis framework drafted and being reviewed by working group.
  • Recognizing current pandemic restrictions, work is underway to facilitate temporary touchdown spaces in the future post pandemic state, across TRCA available sites.

MAY 2021:

  • Completed review of divisional data collection findings, met with each divisional head to share findings, and started to develop options for alternative work arrangement model.
  • Focus will be preparing change management supports and training in alignment with a future date aligned with reopening of our public offices and facilities.

SEPTEMBER 2021:

  • Flexible Work Arrangements Policy is in the final stages of being developed, with an implementation date closer to return to office (January 2022).
  • Request For Proposal (RFP) development underway for procuring new desk booking software.
  • Presentation to SMT on Flexible Work Program.
  • Working Group to present reintegration project plan to SLT in October.
