Q: How do I bookmark Dayforce to my Favourites?
A: Dayforce can always be accessed via the Staff Hub’s landing page. To bookmark Dayforce to your favourites, manually add or type the following http://dayforce.trcastaff.ca to your favourites. If you try to bookmark the page when you are on it, it will not work. You must manually type in the address to your favourites.

Q: Will overtime hours worked default to paid or unpaid time?
A: In accordance with TRCA’s Pay Policy, overtime worked must be approved by supervisors/managers in advance. Determining whether time is paid or unpaid is determined at the management level. For staff in bands 1-9, overtime recorded in Dayforce will default to paid time. If time should be banked in lieu instead, timesheets must be updated accordingly. For staff in bands 10+, overtime is unpaid and should be coded accordingly.

Q: Why are my vacation, lieu time and floater day balances not showing in Dayforce?
A: Your vacation, lieu time and floater day balances will be updated by end of day January 2nd.

Q: When can I start using Dayforce?
A: Dayforce will be available to all staff starting on December 24, 2018. TRCA staff will need to login and complete their first time sheet between December 24th, 2018 and January 3rd, 2019. It is highly recommended that all staff log in by January 2nd to allow sufficient time to get comfortable with the software and submit their timesheets.

Q: How do I log into Dayforce?
A: Log into Dayforce from the link that will be provided here on December 24th. Log in details to follow.

Q: What do I do if I lose my password?
A: You can use the “Can’t access your account?” feature on the login page or contact IT Support at https://ithelp.trcastaff.ca/

Q: Will there be additional information sessions available?
A: Information sessions were made available for all staff from October 22 to November 8, 2018. If you were unable to attend an information session, an audio recording is available on the Staff Hub, in addition to the slide deck on the Hub.

Q: When do I need to complete training by?
A: Training consists of five online self-paced courses that can be accessed from the Staff Hub. It is recommended that the courses be completed between November 12 to December 21 before the launch of Dayforce on December 24, 2018 The content of the online self-paced courses are geared towards timesheets, schedules and time away from work requests. On average, they will take between 3 to 3 ½ hours to complete.

Q: How can I access training?
A: Click on the “Online Training” tab on the Staff Hub Dayforce landing page. You will be directed to the e-learning page where you can access the online courses.

Q: Is any in-class training available?
A: Instructor led classroom style training will be held during the first two weeks of December for designated manager and supervisor Champions across all Divisions. See Staff Hub Dayforce landing page for list of Champions.

Q: How do I view my Earnings?
A: From the Dayforce Home screen, navigate to Earnings from the navigation on the left and select the pay period you want to view.

Q: How do I view my time off balances and request a day off?
A: From the Dayforce Home screen, navigate to Work, and Time Away List from the navigation panel on the left. Click Balances to view your available balances, and click Request New Time Off to submit a new request. Your request will be pending manager approval.

Q: How do I change my personal information?
A: From the Home screen, click the Profile & Settings link located under you name and job title. From here you can edit your contact information on the Profile screen, or submit a form on the Forms screen.

Q: When can I access StarGarden until?
A: Access will be available until Friday December 21, 2018. Your last pay for 2018 will be on StarGarden. Your first pay for 2019 will be on Dayforce.

Q: How will I receive my T4?
A: T4’s will be mailed to all TRCA staff by the third week in February 2019.

Q: Who can I contact to ask questions about Dayforce?
A: Each Division has been assigned approximately 15 – 20 Dayforce TRCA Champions who will act as your primary points of contact for questions, in addition to your Payroll and Human Resources teams. A full list of all Champions is available on the Staff Hub Dayforce landing page.

Q: When editing my shift, what does “[None]” represent for the pay code drop down?
A: [None] represents paid time. It is the default account code for regular paid time worked.

Q: When should I add a pay adjustment instead of a shift?
A: It depends. This will depend on whether staff are full-time, part-time, seasonal, using clocks, not using clocks, accruing lieu time, recording unpaid hours etc.
Generally speaking, any paid time worked should be captured in a shift. Any paid time not worked (i.e. vacation, lieu out, sick etc.) should be captured via a time away from work request. All time away from work requests will prepopulate your timesheet once approved by managers; however, you will have to open your pre-populated time entries with the appropriate account code (Project Unit), and task (Task-Subtask). If you subsequently need update or change an approved time away from work request, this can be accommodated through a pay adjustment directly on your timesheet.

Q: How do I accrue lieu hours?
A: For staff eligible to accrue lieu hours, this should be captured with a pay adjustment and selecting the appropriate code (i.e. OT Bank 1.0, OT Bank 1.5). For staff ineligible to accrue lieu hours, this approved worked time should be captured with a shift, and selecting the “Unpaid Work” code, rather than [None].

Q: What is the difference between OT Bank 1.0, OT Bank 1.5, OT Bank Paid?
A: OT Bank 1.0 is the code used to accrue lieu at a rate of 1.0. OT Bank 1.5 is the code used to accrue lieu at a rate of 1.5 (i.e. if 44 hours/week worked is reached). OT Bank Paid is the code used to record the use of banked lieu/overtime. Information regarding staff eligiblity of lieu time, please refer to TRCA’s “Lieu Time, Overtime and Hours of Work Policy” located in the Personnel Manual and Laserfiche.

Q: How do I know if I’ve submitted my timesheet correctly?
A: Ensure you view the “Pay” summary at the top of your timesheet to ensure that the number of hours in each of the columns is correct (i.e. 35 hours of “Regular” Pay, any overtime, or unpaid time). The Pay summary is most important in translating your time entries to Payroll, your Pay, and project accounts.

Q: What is On-Call Worked and can I use it?
A: On-Call worked refers to employees who are expected as part of their regular job responsibilities to be reachable by pager or cell phone, or by home phone and be within an hour from work. This is typically applicable to our facilities maintenance staff and flood duty officers.
