Migration to Office 365 Update

February 9, 2019

When I joined TRCA a few months ago, one of my first priorities was assessing the plan to move from Lotus Notes email and calendar to Microsoft Outlook. As a result of my assessment and in consultation with the Information Technology Management (ITM) business unit, we determined that we needed to adjust our approach to ensure a successful transition for everyone, with minimal disruption.  We are currently finalizing an agreement with an external firm who will provide us with their expertise in migrating companies from Lotus to Outlook, with the goal of starting the migration process over the next two months.

As part of my assessment, I want to address the current use of Office 365 across the organization.  Whether it is One Drive, Microsoft Teams or the suite of applications available to you, ITM recognizes that there are currently shortcomings, which are mainly associated with the fact that Office 365 is not integrated with Lotus Notes and therefore there are issues around notifications and access to files.  Through the migration process, ITM will be working to properly roll out the full suite of Office 365 benefits to the entire organization. I realize this is a busy time for many of our program areas so we will work closely with you to minimize the impact.  We plan to provide classroom-based training to augment the online training as well as sessions to help teams get the most out of this new suite of tools.

We are committed to communicating further updates as we move forward with the migration progress. I would like to thank you all for your patience as we plan for success in this transition.
