ITRM Lunch and Learn: Teams, OneDrive and Sharepoint

This lunch and learn took place on March 31, 2021 and focused on the specific use for Teams, OneDrive and Sharepoint and some of the new features within Teams and OneDrive. The presentation also looks at the retention and storage for documents and files. (A summary of the questions and answers asked during the session are posted below the presentation.)

  1. Q: Is there storage limit on Sharepoint or Teams?
    A: 26.72TB (Currently 6.74TB is being used)
  2. Q: If files are not deleted, they are saved forever?
    A: Yes
  3. Q: Does TRCA have a standard naming convention?
    A: Yes, you can find the information here.
  4. Q: Can you organize OneDrive files that are shared with you?
    A: No, it is just a collection of all files that others have shared with you. You can do some basic sorting of Name, Date Shared, and Share by.
  5. Q: Is there a records management policy that also states these guidelines around saving to Laserfiche and deleting transitory files?

  6. Q: If you create a Channel Calendar in a Teams Channel, can it also be accessed from Outlook client?
    A: No
  7. Q: Is TRCA still planning to move exclusively to cloud-based document storage?
    A: We are exploring cloud options and are on our way to the cloud journey. At this time, we have a hybrid option of online and on-premise document storage.
  8. Q: Any best practices to suggest on which communication tool to use – Outlook vs TEAMS channel vs TEAMS chat etc?
    A: I would suggest to use Outlook to do your formal communications, and use Teams group chat to collaborate on any specific projects and finally Teams one on one chat for quick/informal communication.
