Use GoToMeeting & GoToTraining in Ravine Room Task

We have posted some handy, informative instruction to assist with using the Ravine Room to its full potential.  There are a few things to keep in mind:  There is no phone or phone line in this room.  We recommend using Skype or Go to Meeting.  You can also use a cell phone, Nick has installed a curtain to reduce echo.  The room can get warm so we have provided a quiet fan to help air flow.  If you are going to be using elements in the room, such as Go to Meeting or Skype we recommend scheduling some time before hand to familiarize yourself with these features and give yourself time to troubleshoot if needed.

Ravine Room User Instructions

  • Please leave the cords that say “Do Not Remove” plugged in, laptop accessories have been provided if you do not wish to use the PC Tower
  • There is a monitor cable for laptops, to use change the input on the TV with remote
  • There is a network cable for laptops provided
  • There is no phone line in the Ravine Room, please make alternate arrangements such as GoToMeeting or Skype
  • The speakers and microphone do echo occasionally.  We have installed a curtain but you may wish to test them out before you begin

GoToMeeting & GoToTraining User Instructions

  • There are 2 icons on the Desktop and one on the task bar
  • There is no phone line in the Ravine Room so remember to always select VoIP/microphone and speakers

 “GoToTraining”
GoToTraing allows you to host a webinar with additional features such as testing, quizzes and polls. To use GoToTraining, you first need to schedule the session and create a registration form but it otherwise similar to GoToMeeting.

  1. Double click on “GoToTraining” icon
  2. Schedule a training session with a unique name
  3. Email or post a link to the registration form to allow attendees to sign up.

Creating New Meetings
Clicking on the desktop icon will create a new meeting with either the “meet now” or “schedule” options
There are three TRCA “seats” for meeting hosting to avoid conflicting meeting times

  1. Double click on the “GoToMeeting” icon on the desktop
  2. Choose “Meet Now” to start a meeting or “Schedule Meeting” to have one at another date

Joining Meetings
Right clicking on the task bar icon will let you decide to join a meeting in progress or view your meetings that have already been scheduled

  1. Right click on the flower icon in the task bar
  2. Choose “join” to go to a meeting starting immediately or is already in progress
  3. Choose “My Meetings” to view meetings scheduled and choose the appropriate one
  4. Click “Attendee List” to add people you wish to include in the meeting and to get the meeting ID # they will need to access your meeting from their location
  5. To exit a meeting close the window
  6. To end a meeting click on “File” in the top toolbar then “End Meeting”

Toubleshooting

  1. You need a network connection to have a meeting, make sure the network cable is plugged in and functioning
  2. Sound not functioning: make sure the speaker/microphone unit is on
  3. Monitor not turning on: Make sure you give it time to warm up – check on the bottom of the screen near the door to make sure there is a green light, if not press the power button again

Before You Start

  1. Make sure everyone has the appropriate software
  2. Do a test run with “GoToTraining”
  3. Make sure you have the login and passwords needed
  4. Check the speakers and microphone to make sure they are working for remote viewers
