- Each year, the Communications, Marketing and Events business unit will work with your team to identify major marketing projects, programs, and activities requiring support.
- Check with the Media Relations Specialist if you are unsure whether your project has been prioritized for media relations support.
- If your project has been prioritized for media relations support, schedule a meeting with the Media Relations Specialist early in your planning. Come to the meeting prepared with communications objectives, timing considerations (such as key dates) and a clear sense of what is most newsworthy about your project.
- Once approved, the Media Relations Specialist will consider and plan the most effective approach to the project, decide which materials will be needed, communicate the plan to the project team for feedback and, if approved, provide draft communications materials for the project team to review, if applicable.
- The Media Relations Specialist will follow the plan and reach out to media to secure interest and coverage, working to coordinate media interviews and segments, etc., if applicable.
- All incoming requests from media for information or interviews are to be forwarded immediately to the Media Relations Specialist, who will coordinate the appropriate response.
- Members of the media who arrive unannounced at TRCA facilities or events should be referred to TRCA’s manager on-site. The Media Relations Specialist must be notified immediately, and will coordinate the appropriate response. Only designated TRCA spokespersons may communicate with the media, and only in consultation with the Media Relations Specialist.
- When a member of the media requests information concerning TRCA policies, positions on issues, or any matter that may impact the reputation of TRCA, employees should not provide any information and should instead direct the media member to contact the Media Relations Specialist. If an interview is requested on-site, TRCA staff members must contact the Media Relations Specialist to approve and coordinate the interview.
- Members of the media who arrive unannounced are to be permitted access to TRCA facilities or events for the purpose of media coverage if requested, and if the circumstances permit.
